Replacement for 15 weeks or more, full-time, until no later than the end of September 2027 The main and usual role of the person in this job class is to carry out various technical administrative tasks related to contract management and procurement in the aeronautics field. The person assists CQFA staff within their area of specialization. They may be mandated by the Director of Operations and Maintenance of the CQFA and must comply with applicable regulations at all times. JOB DESCRIPTION

Main duties

  • Gather and analyze needs and respond to requests for information from applicants;
  • Take part in the process of acquiring goods and services (purchase orders, requests for quotation, calls for tenders), in compliance with the applicable regulatory framework;
  • Collaborate in drafting, in French and English, invitational calls for tenders and in analyzing the bids associated with files under their responsibility;
  • Communicate daily, in French and English, with suppliers in Canada and the United States to validate logistical and administrative aspects related to the acquisition of goods and services (prices, availability, delivery terms, payment conditions);
  • Look for potential savings when contracts are renewed;
  • Carry out steps and follow-up with customs services
  • Take part in follow-up on contract management and accountability reporting for small and medium-sized contracts;
  • Monitor the files entrusted to them, analyze and resolve difficulties associated with order changes, defective goods, exchanges and other problems or disputes;
  • In collaboration with the Directorate of Financial Resources, ensure the availability of required funds and verify invoices;
  • Carry out specific financial analyses intended to support decisions on contract management;
  • Prepare tables and produce reports related to their fields of activity;
  • Ensure deadlines are met and follow up with the people concerned;
  • Make suggestions and recommendations to improve the smooth running of activities under their responsibility;
  • Collaborate closely with CQFA staff;
  • The person may be called upon to coordinate the work of other support employees involved in carrying out technical programs or operations for which they are responsible, and to train such staff when they are less experienced;
  • Use the information and communications technology tools made available to them in connection with the work to be carried out.
  • Use the COBA system daily to process, track and manage files under their responsibility;
  • If needed, perform any other related tasks.

REQUIRED QUALIFICATIONS Education and experience Hold a college diploma (DEC) in business administration with an appropriate field of specialization, or a diploma or certificate of studies whose equivalence is recognized by the competent authority. Other requirements
  • Demonstrate an intermediate level of English proficiency, both oral and written;
  • Master the French language, both oral and written;
  • Master the Office suite software (Word, Excel, Outlook);
  • Master navigation, downloading and publishing functions on the Internet.

Will be considered assets

  • Have a very good knowledge of the aircraft maintenance field (parts and aircraft);
  • Have a very good knowledge of contract management (procurement);
  • Have a very good knowledge of how an integrated management and purchasing system works.
