TYPE OF EMPLOYMENT: Full-time regular

WORK SCHEDULE: 35 hours per week

Monday to Friday from 8:30 a.m. to 4:30 p.m.

LOCATION: 325, boul. de la Cité-des-Jeunes, Gatineau (Québec) J8Y 6T3

SALARY SCALE: $27.78 - $37.08

JOB SUMMARY: The Administrative Technician for student services provides high-level administrative, technical, and operational support to the Director of Student Services and the department.

The incumbent will participate in the coordination of administrative operations, manage the department's systems and files, support projects and events, prepare reports and documentation, monitor budgets and purchasing activities, and ensure the efficient organization of departmental processes and communications. They will be a key resource for administrative planning, data management, report production, file maintenance, and operational follow-up, while supporting the implementation of initiatives and strategic priorities of Student Services.

TASKS

  • Coordinates the schedule, meetings, communications, priorities, and administrative follow-up of the Director of Student Services.
  • Prepares agendas, presentations, reports, information notes, correspondence, and other administrative documents.
  • Performs complex administrative tasks and provides technical support in writing, linguistic processing of texts, and document presentation.
  • Manages the department's files, classification systems, databases, forms, contracts, and confidential information.
  • Produces, compiles, verifies, and analyzes administrative reports and data to support departmental operations and planning.
  • Uses and updates information in institutional systems such as Omnivox, CLARA, Contact, and other administrative platforms.
  • Contributes to the coordination of projects, initiatives, events, schedules, action plans, and organizational follow-up of the department.
  • Contributes to budget tracking, purchasing processes, invoices, expense reports, contracts, supplier relationships, and financial monitoring.
  • Supports the administration of Student Services programs, including the Food Security Initiative, by maintaining participant records, processing orders, monitoring inventory, and preparing statistical reports.
  • Coordinates the work of support staff involved in program or technical operations for which they are responsible and initiates their work.
  • Participates in the coordination of logistics for orientation sessions, convocation ceremonies, award ceremonies, workshops, and other Student Services activities and events.
  • Participates in the development of administrative procedures, models, tracking tools, workflows, and continuous improvement initiatives to strengthen departmental efficiency.
  • Serves as the central administrative liaison between the Director, managers, staff, students, teachers, external partners, and service providers.

MINIMUM QUALIFICATIONS REQUIRED

Holds a college diploma in Administration, Finance, or Accounting, or a diploma or certificate of studies whose equivalence is recognized by the competent authority.

A perfect mastery of English (spoken, written, and comprehension) as well as an intermediate level in French (spoken and comprehension) are required.
