JOB SUMMARY
The Administrative Technician in Student Services provides advanced administrative, technical, and operational support to the Director of Student Services and the department.
The incumbent will assist in coordinating administrative operations, manage the department's systems and files, support projects and events, prepare reports and documents, monitor budgets and purchasing activities, and ensure the efficient organization of departmental processes and communications. The incumbent serves as a key resource for administrative planning, data management, report production, record-keeping, and operational follow-up, while supporting the implementation of Student Services initiatives and strategic priorities.
RESPONSIBILITIES
Typical responsibilities that the incumbent is expected to assume include:
- Coordinates the director's schedule, meetings, communications, priorities, and administrative follow-up.
- Prepares agendas, presentations, reports, briefing notes, correspondence, and other administrative documents.
- Performs complex administrative tasks and provides technical support for writing, syntax, and presentation of documents.
- Maintains the department's files, filing systems, databases, forms, contracts, and confidential information.
- Generates, compiles, verifies, and analyzes administrative reports and data to support departmental operations and planning.
- Uses and maintains information within institutional systems such as Omnivox, CLARA, Contact, and other administrative platforms.
- Assists in coordinating departmental projects, initiatives, events, deadlines, action plans, and organizational follow-up.
- Assists with monitoring budgets, purchasing processes, invoices, expense reports, contracts, vendor relations, and financial tracking.
- Supports the administration of Student Services programs, including the Food Security Initiative, by maintaining participant records, processing orders, tracking inventory, and preparing statistical reports.
- May be called upon to coordinate the work of support staff involved in operations or technical programs for which they are responsible and to train them.
- Assists with coordinating logistics for orientations, convocations, award ceremonies, workshops, and other Student Services activities and events.
- Participates in the development of administrative procedures, templates, tracking tools, workflows, and continuous improvement initiatives to improve departmental efficiency.
- Acts as the central administrative link between the director, managers, staff, students, professors, external partners, and service providers.
- Assists with audits, government reports, data imports/exports, document verification, compliance requirements, and special projects as needed.
- May be called upon to act as a backup for certain tasks or service functions.
- Performs other related tasks.
MINIMUM QUALIFICATIONS REQUIRED
- College diploma in administration, finance, or accounting, or a diploma or certificate of studies whose equivalence is recognized by the competent authority.
- Mastery of English (spoken, written, and comprehension), and an intermediate level of French (spoken and comprehension) are required.
