The Hull Soup Kitchen is looking for a dynamic, organized and versatile person to assist the Executive Director on a day-to-day basis in managing, coordinating and planning operations, as well as following up on files related to financial management and human resources management.

Support to the Executive Director

o Manage the Executive Director's calendar, prepare the required documentation, attend meetings as needed and ensure necessary follow-ups;

o Prepare the documents required for board of directors meetings;

o Set up and maintain a file management system that optimizes the follow-up and archiving of current files;

Financial management

o Provide support in developing the budget, project proposals and funding requests;

o Ensure follow-up of funding agreements and accountability reporting to funders;

o Ensure follow-up of online or in-kind charitable donations and ensure that charitable donation receipts and thank-you letters are sent to donors;

Human resources

o Ensure the maintenance and archiving of human resources files;

o Ensure the publication of job postings on various media and job sites and organize interviews with selected candidates;

o Prepare employment contracts and take part in welcoming and onboarding new employees;

JOB REQUIREMENTS

  • College diploma in administrative sciences, management or any other combination of experience and education deemed appropriate
  • 2 years of experience in a similar position
  • Ability to manage priorities and carry out several tasks simultaneously
  • Proficiency in software use (Microsoft Office suite, simple accounting)
  • Mastery of spoken and written French; knowledge of English would be an asset
  • Initiative, autonomy, rigour and ability to work as a team
  • Knowledge of how a community organization operates would be an asset.

Pay: $29.32 to $34.30 per hour

Scheduled hours: 35.0 per week
